Working with Multiple Workspaces¶
A workspace is your organisation's own environment inside Kipper. It holds one finance system connection, its own members, its own permissions, and its own chat history. Nothing crosses from one workspace into another.
You can belong to as many workspaces as you need. This is common if you:
- Manage several legal entities and want each one kept separate
- Are an accountant or advisor working across multiple clients
- Want a test or sandbox workspace alongside your live one
Your login stays the same for all of them. You don't create a second Kipper account.
Finding the workspace switcher¶
The workspace switcher sits at the very top of the left sidebar, above the navigation links. It's a wide button showing the name of the workspace you're currently in, with a chevron on the right.
If you only belong to one workspace, the button still appears and shows that workspace's name.
The switcher is hidden while you're inside Workspace Settings, because that sidebar is replaced by the settings menu. Leave Workspace Settings, for example by clicking Dashboard, and the switcher comes back.
Switching between workspaces¶
- Click the workspace name at the top of the left sidebar
- The dropdown lists every workspace you're a member of
- Click the one you want to open
The workspace you're currently in is highlighted and has a checkmark beside it, so you can always tell which one is active at a glance. While the switch is in progress a small spinner appears next to the workspace you picked.
Kipper reloads and takes you to the Dashboard of the workspace you switched to. Your choice sticks: next time you sign in, you land back in the workspace you were last using.
Workspaces where your membership has been deactivated don't appear in the list. If a workspace you expect is missing, ask an admin of that workspace to check your access.
Creating a new workspace¶
Any user can create a workspace. You don't need to be an admin anywhere.
- Click the workspace name at the top of the left sidebar
- Click Create New Workspace at the bottom of the dropdown
- Enter a name in the Workspace Name field
- Click Create Workspace
You become an Admin of the new workspace automatically, and Kipper switches you into it straight away. It starts empty, so you'll land on the Dashboard setup checklist. See Your Dashboard for the steps to connect a finance system and an interface.
Admins also get an Invite Members shortcut in the same dropdown, which opens the member management page for the workspace you're currently in.
What's separate for each workspace¶
Almost everything you see in the app belongs to one workspace only:
- Members and roles: each workspace has its own member list and its own invitations
- Data sources: each workspace connects to a single finance system, independent of your other workspaces
- Permission sets: access levels are set per data source, so they're per workspace too
- Interfaces: Slack, Teams and SMS connections are made per workspace
- Chat history: questions and answers stay in the workspace they were asked in
- Audit log: each workspace keeps its own separate record of changes
- Trial and subscription status: billing state applies to one workspace at a time, so one workspace can be on an active trial while another has expired
Because of this, if you can't find a data source, a member, or a past conversation, the usual reason is that you're looking at the wrong workspace. Switch workspaces and check again.
What's shared across workspaces¶
Your identity is shared. One login gets you into all of your workspaces:
- Email address and password
- Your profile details: name, phone number and preferences
- Two-factor authentication: enrolled once on your account and used for every workspace you belong to
Changing your password or resetting 2FA affects your sign-in everywhere, not just the workspace you're in at the time. See My Profile and Two-Factor Authentication.
Some workspaces require two-factor authentication. If a workspace has that turned on and you haven't set up 2FA yet, you'll be asked to before you can use it.
Your role can differ per workspace¶
Roles are granted per workspace, not per person. You might be an Admin in one workspace and a Standard member in another.
This means the app can look different after you switch. Admin-only areas (Workspace Settings, the Audit Log, member management, and the sync actions on a data source) appear in workspaces where you're an admin and are hidden in the ones where you're not. Your query permissions can differ too: you might have Full Access in one workspace and Accounts Payable only in another.
See Permissions & Access for how the roles and permission levels work.
Common questions¶
- Can I move data or members from one workspace to another?
- No. Workspaces are fully isolated. To give someone access to a second workspace, an admin of that workspace invites them separately using the same email address.
- Can one workspace connect to two finance systems?
- No. One finance system per workspace. If you need QuickBooks and Xero at the same time, put them in separate workspaces. See Data Sources.
- Does each workspace need its own subscription?
- Yes. Trial and plan status are tracked per workspace. See Trial & Access.
- Can I delete a workspace myself?
- Not from the app. Contact support@kipper.com and we'll help.
